Terms and Conditions

Wedding / Special occasion car & carriage hire ~ Terms and Conditions

  • Accounts and payments: Customers are asked to pay a deposit of £175.00 (non refundable) and the remaining balance must be paid at least one month days prior to the day of hire. (We unfortunately do not accept Credit cards. All cheques made payable to “Orchard Poyle Carriage Hire”)
  • Deposit payment and fully completed signed booking form is required to secure all private hire bookings
  • Cancellation: All deposits are non refundable, with the balance being returned if we are advised of the cancellation in writing at least one month prior to the date of hire.
  • Bookings: The customer who has booked the vehicle will be solely responsible for all aspects of the vehicle hire
  • All our chauffeurs/drivers check for any items left in our cars/carriages. Should any items be found, they will be returned to the hirer by post. Any items too large or expensive to post will need to be collected from us upon request.
  • In the very unlikely event of an emergency, breakdown, accident or unforeseen extreme weather conditions, we reserve the right to offer substitute vehicles of similar specification, and/or offer full refunds at short notice.
  • Any parking fines incurred, where our chauffeur is requested to wait in an undesignated area will be the responsibility of the hirer.
  • We have a no smoking, eating or drinking policy in all our vehicles/carriages.
  • Should any of our vehicles/carriages be required for longer than the agreed time period, hire will be charged at £50 per half hour.
  • Our routes are always pre-planned to ensure the best possible route. Should a route have to be altered due to an accident, emergency, extreme weather conditions or customer requesting a different route, we will not accept responsibility for late arrivals or losses incurred. We also cannot accept responsibility for lengthy photographers that result in us being late!!
  • We will cater for any reasonable requests when carrying out weddings, subject to them being discussed with us prior to arriving.
  • Any ceremonial traditions must be discussed with us prior to booking the vehicle. We reserve the right to refuse any request, which we feel could cause damage to our vehicles/carriages or concern our horses.
  • Any damage caused to the vehicle during the period of hire will be charged at full cost by invoice.
  • The hirer will be held completely responsible and liable for all costs including loss of earnings incurred whilst the vehicle is under repair.
  • We reserve the right to terminate any agreement immediately should any of our conditions not be complied with. Any funds paid up to that point would remain ours.
  • Complaints/refunds: We pride ourselves on our professionalism, along with our immaculately presented horses, vehicles and chauffeurs, however, in the very unlikely event that you feel unhappy with the service we provide, you must send your complaint in writing within 7 days. Any complaints will be investigated and if it is found that we have been at fault in any way for not supplying the service agreed, a refund may then be applicable (excluding deposits paid). The refund may vary in accordance with the nature of the complaint.
